Terms and conditions


Article 1 - Definitions
Cooling-off period: the period within which the customer can exercise his right of withdrawal
Day: calendar day
Client: private or legal entity that is purchaser of the Service
ExpatBuddy B.V.: legal entity providing Service
Contract: contract between ExpatBuddy B.V. and the client for services provided by ExpatBuddy B.V.
Service: AI Chat Assistant service, integration courses, and related activities provided by ExpatBuddy B.V.
AI Chat Assistant: artificial intelligence-powered chat service providing information and guidance to expatriates
Subscription: recurring payment plan providing access to the AI Chat Assistant service

Article 3 - Applicability
1. These general terms and conditions apply to every offer made by ExpatBuddy B.V. and to every contract entered into between ExpatBuddy B.V. and the Client
2. Before the Contract is entered into, the text of these general terms and conditions will be made available to the Client. Terms and conditions are also available at any time on the website of ExpatBuddy B.V.
3. If the Contract is entered into electronically, the text of these general terms and conditions will be made available to the Client electronically in such a way that it can be stored
4. The applicability of any purchase conditions or other conditions of the Client is expressly rejected
5. If ExpatBuddy B.V. does not always strictly follow these conditions, this does not mean that such provisions are no longer applicable or that ExpatBuddy B.V. would in any way lose the right to demand, in other circumstances, strict compliance with these conditions.

Article 4 - Licence
1. ExpatBuddy B.V. is the exclusive owner of all rights to, ownership of and interests (including intellectual property rights) in all materials, documentation, websites or information arising from the Services or which have been developed for, or made available to, the Client in the context of or in relation to the Contract.
2. All changes, adjustments or improvements made or developed in relation to the Service, whether or not made or developed from the input of the Client, are and remain the property of ExpatBuddy B.V.
3. It is at all times prohibited to:
  • Copy or republish any materials from ExpatBuddy B.V. or provided by ExpatBuddy B.V.
  • Sell, rent or sublicense ExpatBuddy B.V. materials
  • Reproduce, modify, duplicate or copy ExpatBuddy B.V. materials
  • Redistributing content from ExpatBuddy and ExpatBuddy integration course materials

    • Article 5 - Agreement and Offers
    1. All offers by ExpatBuddy B.V. will be made in writing and will become valid upon written or digitally signed by client - or until client has made the payment as per offer.
    2. All offers by ExpatBuddy B.V. are valid for thirty (30) days unless stated otherwise in the offer.
    3. All offers will provide all relevant information making it clear to the Client what rights and responsibilities are attached if the offer is accepted.

    Article 6 - Services
    6.1 AI Chat Assistant Service
    1. ExpatBuddy B.V. provides an AI Chat Assistant service that offers information and guidance to expatriates in The Netherlands
    2. The AI Chat Assistant is available 24/7 through our web platform with usage limits based on the selected subscription tier
    3. Service limitations include character limits per message, maximum number of sessions, and monthly message quotas as specified in the chosen subscription plan
    4. ExpatBuddy B.V. does not guarantee the accuracy, completeness, or reliability of AI-generated responses
    5. The AI Chat Assistant is provided "as is" and may be temporarily unavailable due to maintenance or technical issues
    6. ExpatBuddy B.V. reserves the right to modify, suspend, or discontinue the AI Chat Assistant service with reasonable notice

    6.2 Integration Courses
    1. ExpatBuddy B.V. may provide integration courses in a professional manner according to the specific Contract terms
    2. Course rescheduling due to extraordinary circumstances does not entitle clients to refunds if alternative dates are provided
    3. All services are delivered in English unless otherwise specified

    6.3 General Service Provisions
    1. All Services are subject to fair use policies to ensure availability for all users
    2. Misuse, abuse, or attempts to circumvent service limitations may result in account suspension or termination

    Article 7 - Prices and Payments
    7.1 Pricing
    1. All prices are stated in Euros including VAT and any applicable taxes
    2. Subscription prices are charged monthly and may be subject to change with 30 days advance notice
    3. Current subscription tiers and pricing are available on our website

    7.2 Payment Terms
    1. AI Chat Assistant subscriptions are billed monthly in advance via Stripe payment processing
    2. Payment is due immediately upon subscription activation and monthly thereafter
    3. Failed payments may result in service suspension until payment is resolved
    4. Integration course payments must be made as specified in the individual Contract

    7.3 Refunds and Cancellations
    1. AI Chat Assistant subscriptions can be cancelled at any time through your account settings
    2. No refunds are provided for partial months of service
    3. Upon cancellation, service continues until the end of the current billing period

    Article 8 - Liability and Disclaimers
    8.1 Information Disclaimer
    1. The AI Chat Assistant provides general information only and does not constitute professional advice
    2. ExpatBuddy B.V. does not provide financial, medical, legal, or official government advice
    3. Users should always verify information with official sources and seek professional advice when needed
    4. ExpatBuddy B.V. is not liable for decisions made based on AI-generated responses

    8.2 Technical Limitations
    1. AI responses may contain inaccuracies, outdated information, or errors
    2. The service may be temporarily unavailable due to maintenance, updates, or technical issues
    3. ExpatBuddy B.V. does not guarantee uninterrupted service availability

    8.3 Limitation of Liability
    1. ExpatBuddy B.V.'s liability is limited to the amount paid by the Client in the 12 months preceding the claim
    2. ExpatBuddy B.V. is not liable for indirect, consequential, or punitive damages
    3. Force majeure events excuse performance delays without liability

    Article 9 - Data Protection and Privacy
    1. ExpatBuddy B.V. processes personal data in accordance with the General Data Protection Regulation (GDPR)
    2. Chat conversations may be stored and processed to improve service quality
    3. Personal data handling is detailed in our Privacy Policy
    4. Users have the right to access, correct, or delete their personal data

    Article 10 - Acceptable Use
    1. Users must not use the AI Chat Assistant for illegal, harmful, or inappropriate purposes
    2. Prohibited uses include harassment, generating harmful content, or circumventing usage limits
    3. ExpatBuddy B.V. reserves the right to suspend accounts for policy violations
    4. Users are responsible for maintaining account security and confidentiality

    Article 11 - Governing Law and Disputes
    1. These terms are governed by Dutch law
    2. Disputes shall be resolved by competent Dutch courts
    3. Mediation may be attempted before formal legal proceedings
